Official Show Policies
It is our goal to ensure the safety of and enjoyment for all attendees at Natural Products Association MarketPlace. We appreciate your cooperation in adhering to the conference policies below.
Admission Policy/Required Proof of Business
All persons planning to attend Natural Products Association MarketPlace must be registered. Natural Products Association MarketPlace is a private trade show open to the trade only, and not open to the public. Individuals who cannot document their direct, professional affiliation to the trade are not qualified to attend the trade show.

Announcements
Announcements are only made for lost children. Message boards and lost and found are available at the Show Office. We encourage attendees, if separated from their group, to designate the Show Office as the location to meet.
Children
Children 16 years and older must qualify to register as an attendee or exhibitor and will be required to show business proof (for examples, click here). Children 15 years and younger are required to have a Children's Badge and must be under adult supervision at all times. You will be required to present proof of age (i.e. birth certificate, government/state issued ID). Only one Children's Badge will be issued per adult. All Children's Badges must be picked up at onsite registration. Children under 18 are not allowed on the show floor during move-in and move-out.
Literature, Product Distribution & Sample Bag Policy
It has been determined from both attendee and exhibitor feedback that one sample bag per day is sufficient for buyers to bring home product and literature from the show floor. Therefore, each attendee is permitted to exit the show floor with one sample bag per day. Company promotion, sample and literature distribution by exhibitors must be done within their contracted exhibit space, with the exception of designated sponsorships and marketing opportunities.
Additional bags will be donated to local food banks and charities. At the close of the show on Saturday, exhibitors can donate their remaining product to the local food bank or authorize an attendee to take the product with them. In the instance an exhibitor would like to authorize an attendee to take a large quantity of product samples that exceed more than one sample bag, the exhibitor and attendee must visit the GES Service Center prior to the close of the show floor at 5:00 pm. At this time, the exhibitor must complete either an Outbound Material Handling Form to send the product home with the attendee or a Bill of Lading to ship the product to the attendee. Freeman will provide further instructions to the attendee on pick-up location and time. Product may not be sold to an attendee.
Meetings, Events & Seminars
All meetings, events and seminars must be registered with Show Management. Meetings, events and seminars not designated or organized as a part of the show are not permitted during show floor hours or hosted events. Events, seminars and meetings must be registered and approved by using the Hosted Events Form found online at www.npamarketplace.com. Exhibitors have the option to publish their meeting or events on the website or indicate on the form it is a private event. If it is indicated as a private event, it will not be published on the show website. Exhibitors wishing to organize a seminar are encouraged to do so through the Exhibitor Hosted Info Sessions program, in which they receive promotion to all show attendees through the website, show program, and onsite schedules and signage (deadlines apply).
No Smoking
All Natural Products Association MarketPlace areas are non-smoking. Anyone who wishes to smoke may do so outside of the building. We appreciate your cooperation.
No Pets
Pets are not allowed at Natural Products Association MarketPlace. The only exception is for service animals. For more questions please contact Customer Service.
Photography/Videography
Exhibitors are permitted to photograph and/or video tape their own booth. Working members of the press are required to check-in at the Press Room, receive an authorization sticker and/or be escorted by the Press Room staff in order to photograph and/or videotape at the show. No other photography or videography is permitted. Exhibitors who do not want the press to photograph or video tape their booth should inform the Press Room staff onsite.
Exhibitors and attendees understand that Show Management or its authorized representatives may conduct interviews and may take photographs and/or videotape at the Natural Products Association MarketPlace. Exhibitors and attendees hereby grant to Show Management and its authorized representatives the absolute right and permission to use my name, likeness, biographical information, voice, content of any interview, image and/or photograph and any other indicia of persona ("Persona") or to refrain from doing so, in any manner or media whether existing now or hereinafter developed (including without limitation the World Wide Web and the Internet), worldwide, for trade, advertising and/or promotional purposes. Exhibitors and attendees agree Exhibitors and attendees shall have no rights of review or approval, no Claim to compensation, and no Claim arising out of or resulting from the use, alteration, blurring, distortion or illusionary effect (whether intentional or otherwise) or use in any composite form of Persona and agree to release and hold Expo Show Management and its authorized representatives harmless for any and all such use(s).

Rolling Carts & Strollers
For safety reasons, rolling carts, rolling bags, strollers, and bags with wheels are not permitted on the show floor during show floor hours. Coat Check is available to store these items. Exhibitors may roll in small briefcases and small backpacks prior to the show floor opening each day from 8:00-11:00 am. Please go to the Show Office with any onsite questions or needs.
Suitcasing
Only contracted exhibitors are permitted to promote their products, services or company at Natural Products Association MarketPlace. Unless a marketing opportunity (i.e., sponsorship, showcase, exhibitor-presented seminar) has been contracted by the exhibitor, all company promotion and product sampling must occur within the contracted booth space. This includes, but is not limited to "roaming" characters, handing out flyers, approaching exhibitor booths to sell products, leaving and/or distributing product information in public spaces and show floor aisles. Exhibitors found doing so will be sent back to their booth space and materials left will be recycled. Attendees will be asked to leave the show and forfeit their badge. Any "suitcasers" should be reported to the Show Office.
Badge reprint fee
In the event that you lose your badge there will be a $10 reprint fee for a replacement badge. To have a replacement badge printed, please go to registration with your identification and we will print a new badge for you for a $10 fee.
Right to verify identity
The Natural Products Association MarketPlace reserves the right to verify the identity of any persons, accepting and/or using a show badge. Any person found using another person’s badge will have the badge confiscated and will be asked to leave the premises or correctly register.
Refund policy
There will be no refunds for any reasons.
Hold harmless policy
Show attendees hereby agree to release and hold harmless Show Management, its employees, vendors, agents, contractors, and owners from any and all alleged and/or actual liability, claims, actions, lawsuits, damages, or losses, of any kind (Claim”) which arise out of or result from attendance at and participation in the event, including but not limited to property damage and personal injuries, whether or not foreseeable.
Privacy policy
Penton Media, Inc. considers your privacy important. We are committed to protecting the privacy of all those who provide us with their contact information while using our information, products, events, or services. This policy describes the ways that personally identifiable and anonymous information about our publication subscribers, online media product users, and event registrants is collected, how that information might be shared, and how someone can request changes to the way their personal information is used or shared.
This privacy statement applies to websites operated by or on behalf of Penton Media, Inc. and its subsidiaries, affiliates, divisions and related companies (“Penton”).
Information You Volunteer
Personally identifiable information is information that can identify you, such as your full name, email address, postal address, telephone number, and fax number.
We collect personally identifiable information that you choose to provide to us when you subscribe to our magazines (either directly or through another company such as a subscription agency); sign up for email newsletters; enter a contest; participate in surveys; register for a web site, webcast, or tradeshow; or otherwise communicate with us. When you provide this information to us, you are no longer anonymous. We also may receive information about you from other sources and add it to the information you have provided to us.
If you purchase products or services on our website or through one of our printed forms, you may choose to provide us with your credit card information.
Penton is not responsible for the information you volunteer about yourself in discussions in our forums or in publicly accessible interactions, or the information that you choose to make public in your member profile. To view or change your member profile, please return to the Penton business site where you registered.
How We Use Your Contact Information
We may use your contact information for any of the following reasons:
- To send you notices for subscription renewal.
- To provide you with information about products or services you've ordered, including web events and tradeshows.
We may also use your contact information to ask for your input to help in our research about our services, events, or products or to provide you with additional information about this site and about other Penton Media products, services, or events that we think might be of interest to you.All promotional and research email messages you receive from us will include an option to opt out of future email communications from that particular Penton business. We may also send you e-newsletters with targeted, relevant content. Each e-newsletter will provide you with an opportunity to opt out of that particular e-newsletter.
In some cases, we may send you relevant, carefully-screened offers from reputable third party businesses or organizations. Many of our customers appreciate receiving these offers because they relate to their business or occupation. However, you will always be able to opt out of receiving future third party offers.
