Bills of Lading
The Bill of Lading is a document that is issued by the transportation carrier to the shipper. This acknowledges that they have received the shipment of goods and that they have been placed on board a particular vessel that is bound for a particular destination. It also established the terms between a shipper and a transportation company for the transport of the goods between specified points for a specified charge.
- Send copies of your Bills of Lading to GES Exhibitor Services so they can help trace any lost or delayed shipments.
- Be sure to remove all extraneous labels from your freight prior to shipping, including old empty stickers.
Please label packages correctly. If materials are for sponsorships such as sampling stations use the Sponsor Storage Labels. Please package these items separate from booth packages or additional charges may be incurred.
Cartload Material Handling Guidelines
To help alleviate the problems and frustrations associated with exhibitors carrying small exhibit materials during move-in, GES is pleased to provide a cartload service for one (1) trip, one way from the dock to your booth or your booth to the dock for a charge of $62.25. This service will be available during move-in and move-out. Please complete the Cartload Service Order Form.
- This service is for those who have small hand carry items all of which must fit in a 3' x 4' push cart, in one trip only. If you arrive with truck, van or trailer filled with exhibit material you will not qualify for this service, and will be redirected to the loading dock que and material handling charges will apply
- A cartload is eight (8) pieces or less (weighing less than 200 lbs. total). Two cartloads allowed per vehicle
- Freight that is too large or heavy must be handled by GES at their freight handling rates and will be routed through the loading dock. No personal trucks (1 ton & over), rental trucks, or bobtails will be unloaded through cartload service

USA Shipping Label
- Small package deliveries (UPS, FEDEX, DHL, ETC.) - If shipping direct to the Sands Expo and Convention Center, your packages must arrive during the direct ship dates, June 13, 2012 after 12:00pm - June 14, 2012 by 5:00pm. We recommend AM delivery, as these carriers may only make one drop per day. All of these items, whether shipped in advance or direct, must be addressed correctly
- C.O.D. deliveries will not be accepted
- Please bring ALL tracking numbers with you
Food & Beverage Storage
Food and beverage is stored in temporary trailers during the show. In order to clear these areas for show close and have the dock area cleared for outbound loading, food and beverage in storage must be removed by 12:00 pm on Sunday, June 17, 2012.
- No exceptions can be made. Make arrangements for removal at the GES Service Center
- If you are donating your food product or non-alcoholic product, donation labels will be located at the GES Service Center and at the Floor Manager's Desk
- Attach the labels to any food product you would like to donate and leave these items in your booth for pick up
- You may also place donation stickers on the product located in storage. Visit the accessible storage desk on the last day of the show to label your product to be donated
If you purchased a Product Showcase, any items left in the cases after 5:30 pm on the final show day will be donated to the local Food Bank.
Freight Move‐in/out & Shipping Information
Save time -ship your freight (booth materials and product) in advance to avoid long freight delivery lines. When shipping in Advance, you are guaranteed to meet your target delivery date and time and can plan labor accordingly. All advance freight will be delivered to the show floor on or prior to your target delivery time.
Advance Booth Shipments:
- Tuesday, June 8, 2012: Last day for advance shipments to arrive at GES warehouse, without surcharges
- Thursday, May 10,2012: First day for advance shipments to arrive at GES warehouse
- Advance warehouse hours for receiving are Monday – Friday, 8:00 am - 4:30 pm. The warehouse will be closed Monday, May 28, 2012 in observation of Memorial Day

Freight Target Information
This applies to freight sent directly to the Sands Expo and Convention Center. Should you send your freight to the GES Warehouse for advance receiving, your freight will be delivered to show site on or before the show load-in times.
- Please do not ship your materials to the Sands Expo and Convention Center prior to official Natural Products Association MarketPlace move-in as the Convention Center is not equipped to handle your shipment
- After your truck checks in with the loading dock supervisor it will be unloaded on a first-come-first-serve basis. Once your truck is unloaded, your freight will be moved to your booth. This could take several hours. Please consider this time when planning for set-up. Please also consider that your freight will be left unattended in your booth any time that you or your staff is not present
- If you are expecting any shipments to arrive or depart before or after normal business hours of 8:00 am – 5:00 pm Monday thru Friday, please contact a GES representative before the show at 800.475.2098 or at the GES Service Center onsite to confirm labor will be available to accommodate your requirements
- Exhibit installation is required to be completed by 5:00pm on Thursday, June 14, 2012
- Refrigerated and/or frozen foods will be accepted at show site only. Please use the refrigerated and/or frozen shipping labels provided by GES. Do not send refrigerated and/or frozen foods to GES advance receiving warehouse

GES Service Executives
This is an onsite service in addition to the traditional exhibitor service desk. GES provides Exhibitor Service Executives assigned to each exhibitor. They will be on the show floor and available to you via cell phone, text and in person.
- GES can check the status of your orders, and order additional items for your booth.
- Before the show call the GES National Service Center at 800.475.2098 to find out more about how this service can help you have a smooth and successful show experience.
Hand Carry Items
Exhibitors may remove hand carried items at 5:00 pm on Saturday, June 16, 2012 but only those items that can be hand-carried in one trip by one individual are considered hand carry items.
- Leftover product may be donated to the local food bank. Food Donation stickers may be picked up onsite from your Floor Manager or at the GES Service Center.
Marshaling Yard
Natural Products Association Marketplace does not have a marshaling yard. All vehicles will be handled on a first come, first serve basis. Please consider Advance Shipment to alliviate wating in line.
Material Handling
GES Material Handling information begins on page 15 on the GES Information and Order Forms located in the drop down menu at the top of the page.
Outbound Shipping
All exhibitors using outside carriers need to coordinate with their outside carrier to be present at their noted check-in time or their shipment will be rerouted by GES at the exhibitor's expense.
- An Outbound Material Handling agreement must accompany all shipments. Material Handling Agreements and Shipping Labels are available onsite at the GES Service Center and in this Exhibitor Service Kit.
- All exhibitors using outside carriers need to coordinate with their outside carrier to be present at their noted check-in time or their shipment will be rerouted. Rerouting of shipments will occur in the most convenient fashion in order to clear the exhibit hall for the next scheduled event following Natural Products Association MarketPlace
